Why this role exists: This role exists to keep our office environment running smoothly, predictably, and without friction for the team. You’ll help us create a comfortable, well-organized workspace and seamless office experience by owning day-to-day operations, vendor coordination, and events.
Location: Kyiv (hybrid)
What you’ll drive:
Office operations & experience — Own the day-to-day office operations and keep everything running smoothly. — Coordinate cleaning, maintenance, repairs, and general office services. — Ensure the office is well-stocked (food, snacks, supplies, equipment). — Manage vendor relationships and maintain an up-to-date supplier database. — Step in and solve operational issues before they become visible to the team.
Budget & administrative control — Manage office-related expenses and ensure accurate and timely payments. — Handle invoice tracking and booking in 1C. — Prepare and monitor the office admin budget. — Support budget planning and provide visibility into spending. — Keep financial processes structured, predictable, and under control.
Events & team experience — Organize office events and team activities (both internal and outdoor). — Support company-wide events locally in collaboration with the Talent team. — Build and maintain a reliable network of event vendors. — Track event budgets and ensure efficient spend. — Collect feedback after events and turn it into actionable improvements.
Cross-team support — Support travel coordination processes when needed. — Help the Talent team with occasional operational tasks (merch, gifts, logistics). — Partner with internal stakeholders to keep office-related processes aligned. — Be the go-to person for anything related to office operations.
What makes you a GR8 fit:
Must-have — 2+ years of experience in office management or a similar operational role. — Strong organizational skills and ability to manage multiple things at once. — Confident communication with different stakeholders and vendors. — Proactive mindset — you don’t wait for problems, you prevent them. — Comfortable working with budgets, numbers, and Excel. — Upper-Intermediate English or higher.
Nice-to-have — Experience with 1C and/or HiBob. — Experience organizing corporate events or team activities. — Experience working in an international or fast-paced environment.
